Asia Pacific Dental Students’ Association (APDSA) Congress 2010 Japan is drawing near. Here is a kind reminder to all member associations of APDSA to prepare our annual membership fee to APDSA. Please refer to the summary of membership fee as below. The membership fee should be paid in cash and in US Dollar during the registration of congress in Hotel Okada, Hakone on 16th August 2010. Representatives from each university, who will be representing your association to pay the membership fee, please notify me by sending your full name, name of university and country and contact number to dkarenvoon@yahoo.com before 8th August 2010. Congratulations to those who are selected. For those who are not selected, we thank you for your time and effort. We also would like to express our deepest apology for the inconvinience caused by the late publication of the SRC participants
We sincerely apologise for the delay in announcing the SRC participant list selected for presentation during the 37th APDSA Congress, Japan A reminder for those who are selected, please prepare your presentations (oral/poster) according to the mode listed and also submit your manuscript by 10 August 2010 to src.apdsa@gmail.com.
Failure to do so may result in you unable to present at the Scientific Research Competition. Manusript format The manusript format is in accordance with Uniform Requirements for Manusripts (URM), in Microsoft Word documents (.doc) 2003 written in English, with 12-point font and double-spacing. Margins should be1 inch on both sides, top and bottom.

Results of the 4th APDSA EXCO Online Meeting
Posted on May 23rd, 2010 No commentsContinuing the meeting that was held before ,this meeting which was held on the 21st of May 2010 at 21.00 GMT +8 the EXCO’s and country representatives have come to a conclusion and the minutes is as follows:
Minutes of 4th EXCO Online Meeting
The following is an account of the minutes taken of the [4th EXCO Online Meeting] held on [May 21st, Friday] at [9pm, GMT +8]. All EXCO committee members present except representative from Singapore and Jun Ai (Minutes was writen based on the saved chat sent by Stanley). Sethavuth Yim replaced Sok Chenh Chhean, representative of Cambodia as he was unable to attend the meeting. Also, Erin, the next Taiwan representative was present.
1. Extra sponsorship from Japan LOC
- Cambodia: USD 480 ( in total) to be divided among participants
2. Study tour option
- For Indonesian students who have already bought flight tickets but unable to attend the APDSA congress due to limitation of space
- Total students involved: 19-25 students from a maximum of 4 different universities
- Japan LOC has not found any university who can accommodate this special study tour arrangement yet
- Japan Universities normally accepts study tour from cooporation school. Stanley needs to ask the participants whether their university has any relationship with a dental school in Tokyo.
3. Participants quota
- Korea needs another 2 more seats
- Since Taiwan has an extra seat, Korea will get that seat
- Final participant list to be given to Rumi as soon as possible
- Suggestion: To put up the final participant list on the website
- Updated quota: Taiwan: 95, Korea: 26, Thailand: 33, Indonesia: 98. The rest remains the same
4. Cultural night
- The ball room has been booked for only 3 hours
- Each country will be given 12 minutes. However, next year’s host which is Thailand will be given the final performance slot which would last for 17 minutes.
- Definite countries that will be performing: Indonesia, Thailand, Japan, Taiwan, Korea and Malaysia
- Countries that might send in a performance: Fiji,Cambodia and Singapore
5. List of speakers
- Not finalized yet
- Rumi will email Dr Arpana in regards to a possibility of speaking on Pacific Dentistry
6. Fasting and hallal food
- No food after sunrise. So, food will be served in the night before the sun rises
- No pork, frogs, food that contains alcohol and no meat that has fangs
- There must be blood when killing the chicken (cannot electrocute the chicken or strangle them)
- Turkey, fish, ram, horse, eel and vegetables are acceptable (it cannot be cooked using pig oil). Sushi and sashimi are fine

7. Stamper for Thailand LOC
- Thailand LOC to make a new stamper (blue ink) to stamp APDSA’s logo on documents for APDSA 2011 Congress.
- There are 2 stampers currently (one with Karen and the other with Rumi)
- Cost: USD 12-15 to be claimed during Japan APDSA congress with a receipt
- The new stamper will be passed on to the next host (2012)
8. Advisor for APDSA EXCO from APAL
- Rumi to confirm after her meeting with APAL this Sunday
9. Congress book
- Japan LOC will ask each participant to attach their picture for the Congress book in the next email (email for confirmation of participation and payment)
- Japan LOC will bear the cost of the Congress book of which the APDSA newsletter will be included
10. Visa
- Participants from Indonesia, Thailand, Malaysia, Cambodia, Fiji and Hong Kong (2 participants only) require certain documents from Japan LOC for visa application
- Every country representative needs to tell Rumi what documents they need for the visa and the information needed in those documents
- Japan LOC will make a personal invitation to an individual upon request
- Currently the invitation letter is directed to each university with the attached participant list

Minutes of 3rd EXCO Online Meeting
The following is an account of the minutes taken of the [3rd EXCO Online Meeting] held on [May 17th, Monday] at [9pm to 1.30am, GMT +8]. All EXCO committee members present except representative from Singapore and Hong Kong. Sethavuth Yim replaced Sok Chenh Chhean, representative of Cambodia as he was unable to attend the meeting. Also, Erin, the next Taiwan representative was present.
1. Final participation list
- Japan LOC will not create a separate package (Seminar and Scientific Research Competition only) because APDSA Congress includes the other aspects such as Hospital visit and City Tour.
- The participants quota remains the same as the previous meeting because Japan LOC cannot handle more than 450 participants.
-However, 115 participants from Indonesia and 30 participants from Korea have bought their air tickets.
- Hence, 19 participants from Indonesia and 5 participants from Korea would be affected from this quota. Each participant from Indonesia has already paid about USD500-600 for their air tickets. On the other hand, Korea is not worried about the money issue since they have only paid a small amount of money. They are only worried that there are no space for representatives from the other universities since the 25 participants are from Wonkwang(圓光) University
- Suggested solution is for the 19 participants from University of Indonesia to arrange a educational tour to visit dental schools in Japan. This tour would be arranged by the Indonesian participants themselves since Japan LOC has to focus on APDSA. Japan LOC will assist the Indonesian participants by suggesting instituitions to visit. This would be beneficial to the participants as they are still able to go to Japan to learn. However, this educational tour will not be associated with APDSA and none of the participants are able to join in any of the APDSA Congress activities. Meanwhile, as for Korea, there will only be participants from Wonkwang(圓光) University.
-Stanley will get the opinions of the 19 participants and get back to us in the next meeting
2. Scientific Research Competition (SRC)
- The duration for SRC has been increased to four hours which will be at 9:00a.m-12:00noon and 12:30noon-1:30p.m.
- The number of poster presentations would be 25 while the number of oral presentations would be 16.
- Abstract submission has been opened and the deadline is on the 20th June 2010.
3. Monetary support
- It has been decided that USD200 each would be given to the following needy member countries: Mongolia, Fiji and Cambodia annually to support their participation the APDSA congress

Updates about APDSA Japan congress 2010
1) Country quota
Currently the quota for each country has been set as follows:
a) Mongolia: 1
b) Fiji :4
c) Singapore: 2
d) Korea: 25
e) Cambodia: 3
f) Australia:1
g) IADS: 3
h) Thailand:35
i) Indonesia: 96
j) Hong Kong : 30
k) Malaysia : 73
l) Taiwan: 96
m) Japan: 81
Total: 450 participants
- Countries of which there is over-registration of participants are requested to filter the number of participants by giving priority to those who are serious about attending the congress and to those who have already purchased their airline tickets but not necessarily so.Japanese LOC,EXCO members ,country and university representatives will be responsible in selecting the worthy applicants for the congress . Japan LOC would like to apologize for the inconvenience caused.
2) Scientific Research Competition (SRC)
- Opening of abstract submission will start by 15 May 2010 or earlier.
- The number of poster presentations allowed will be announced once Japan LOC has surveyed the place for the poster competition.
To finish discussing all of the issues that was not able to finished during this meeting a final meeting will be held on the 17th of May 2010. The date is drawing near to the 37th APDSA congress in japan, prepare well. Keep yourself posted

Results of The APDSA EXCO Online Meeting

Minutes of EXCO Online Meeting
The following is an account of the minutes taken of the [1st EXCO Online Meeting] held on [May 7th, Friday] at [9pm to 12.20am, GMT +8]. All EXCO committee members present except representative from Cambodia and Korea. Also, Erin, the next Taiwan representative was present.
A) APDSA representative to attend IADS Annual Congress 2010
-Karen and Melissa to represent APDSA of which the subsidy will be divided between them.
-They will perform all duties as requested by APDSA and IADS. Amongst them are: presentation of APDSA , discussion on exchange program on behalf of Jack, learning more about how IADS runs their activities like volunteer programmes and to look for opportunities for more collaboration with IADS.
-Karen and Melissa to do a presentation in Japan of their participation in the IADS congress.
B) Scientific Research Competition (SRC)
-There will be 15 oral presentations selected from each country and university equally. There will be poster presentations as well.
-The competition will last 3 hours.
-Abstract submission will be opened soon. Deadline of abstract submission undecided.
-There is no theme for the SRC and participants are free to submit any research they have done.
C) Updates about APDSA Japan congress 2010
-Current number of registered participants is 507. However, the maximum participants that can be accommodated are 450. Hence, this poses as a problem especially since most participants have already bought their air tickets. Japan LOC is currently working on a solution.
-All Country representatives are requested to make sure that the current participants’ purpose of joining the congress is to attend the SRC and seminars as attendance was poor in the previous congresses.
-Registration to be announced closed.
D) Updates about APDSA Thailand congress 2011
-Thailand LOC has already been elected and the structure can be seen on the picture below
-Any questions or problems about the congress can be sent to apdsathailand@hotmail.com
-The political situation in Bangkok will not disrupt the congress because it is only affecting a small area in Bangkok. Thailand is still a peaceful country
Not all of the issue has been resolved so there will be another meeting held at the 10th of May the discuss the remaining issues and find a solution that is to everyone’s best interest. KEEP YOURSELF POSTED ^^

REGISTRATION IS NOW OPEN!!!
Posted on April 11th, 2010 10 commentsWe are pleased to inform you that the registration for the 37th APDSA Congress in Japan is now open. Although the registration is officially opened on the 12th of April, we urge you to start preparing. Get your tickets and funds ready as the countdown begins to the most anticipated Congress so far ^^.
here are some informations that you may find on the official APDSA JAPAN website http://japan2010.apdsa.com/
1.The earlybird registration will be opened on April 12th and it will be closed on May 5th .
2.The fee includes most of the transportation and the meals during the congress, but the costs for the transportation from airport to Hakone (the place the congress is held) and from Funabashi(the place the congress is held) to airport is not included.
3.Narita Airport is the best airport to arrive. We are planning to set some staffs at Narita Airport and some other place and they will tell you how to get the place where the congress is held.
4.Narita Airport is the best airport for leaving.
5. Theywill set two kinds of post tour.(1) is included the fee for Tokyo Disney Land, transportation from hotel to Tokyo Disney Land, and the hotel. (2)other one is just the fee for one night at the hotel (the same hotel the congress is held.)
(1) Enjoy Tokyo Disney Land whole day (Lunch is not included) : $150
(2) 1 night stay at hotel :$50
For those who haven’t already know about the congress fee it is as follows
early bird : 480 USD
regular : 520 USD
APAL/alumni : 600 USD
